AI Always Answers provides AI phone receptionists for service businesses. This policy explains what information we collect, why, and what we do with it. It covers this website and the phone receptionist service.
Information we collect
- From people who call a business we answer for: the call recording, a transcript and summary, the phone number the call came from, and the details the caller shares, like their name, callback number, and what they need.
- From businesses that sign up: the information entered in our signup or callback forms, like business name, contact details, hours, and services.
- Payment details: handled by Stripe. We never see or store full card numbers.
How we use it
- To answer calls for the business and deliver each call's details to that business.
- To set up, support, and improve the service, including reviewing calls to fix mistakes.
- To contact businesses about their account or a request they made.
We don't sell personal information, and we don't use callers' information to market to them.
Who can see it
A business can see the calls answered for that business. The AI Always Answers team can see them to set up and support the service. We also rely on trusted providers to run it, and they handle information only to provide their part of the service:
- Retell AI (the AI voice system that answers calls) and its phone carrier partners
- Supabase (database), Netlify (website hosting), and Zapier (moving call details between systems)
- Google (email alerts and records, and Google Calendar for businesses that connect it for booking)
- Stripe (payments)
We may also share information if the law requires it.
Google Calendar (Book plan)
If a business chooses to connect its Google Calendar for appointment booking, we ask Google for permission to see when the calendar is busy and to create, update, or delete appointment events. We use this access only to offer callers open times and to put the appointments they book on that business's calendar. We store a Google access token securely so booking keeps working, and we don't read the details of other events, sell this data, use it for advertising, or use it to train AI models. Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. A business can disconnect at any time from its booking settings (which deletes the stored token) or remove our access from its Google Account permissions, and can ask us to delete any related data.
Call recordings
Every caller is told at the start of the call that it may be recorded.
How long we keep it
Call details and recordings are kept while the business uses the service, so it can look back at its calls. When a business cancels, it can ask us to delete its data.
Your choices
To ask what information we have about you, or to have it corrected or deleted, contact us at aialwaysanswers@gmail.com or (631) 560-8950. If you called a business we answer for, you can also contact that business directly.
Changes
If we change this policy, we'll update the date at the top of this page.
